These Terms and Conditions ("Terms") govern your use of the website located at rvaisolutionsva.com and any services provided by RVAI Solutions ("RVAI," "we," "us," or "our"). By accessing our website or engaging our services, you agree to these Terms in full.

If you do not agree with any part of these Terms, please do not use our website or services.

1 Services Provided

RVAI Solutions designs, builds, and manages AI-powered automation systems for small service businesses. Our current service offerings include:

• Lead Rescue — An AI voice receptionist system that answers, captures, and logs inbound calls. Hosted and managed by RVAI. ($1,250 setup / $199 per month)
• Front Desk Pro — A structured front-desk automation system with CRM integration and client-owned Make automation account. ($1,895 setup / $275 per month)
• Add-On Modules — Optional extensions including Review Generator, Billing & Payment Assistant, Seasonal Re-Engagement, Analytics & Owner Visibility, and Missed Call Follow-Up. Priced individually by scope.
• Care Plan — Ongoing monitoring, maintenance, and support included with Lead Rescue and Front Desk Pro monthly subscriptions.

Service scope, deliverables, and pricing are confirmed in writing (via email or proposal) prior to any work beginning. These Terms apply to all service engagements unless superseded by a signed agreement.

2 Use of This Website

You may use this website for lawful purposes only. You agree not to:

• Use the site in any way that violates applicable local, state, national, or international laws
• Transmit unsolicited commercial communications or spam
• Attempt to gain unauthorized access to any part of the website or our systems
• Reproduce, duplicate, or resell any part of our website content without written permission
• Use the site in any way that may damage, disable, or impair its functionality

3 Payment Terms

All setup fees are due prior to the start of any build work. Monthly service fees are billed on a recurring basis, beginning on or around the date the system goes live. Invoices are issued through RVAI's payment processor and must be paid within 14 days of the invoice date unless otherwise agreed in writing.

Failure to pay may result in service suspension. RVAI will make reasonable efforts to notify you before suspending service.

4 Cancellation Policy

Monthly subscriptions may be cancelled with 30 days written notice to [email protected]. Upon cancellation:

• Service will remain active through the end of the current billing period
• Setup fees are non-refundable
• For Front Desk Pro clients, you retain ownership of your Make account and automation blueprints
• For Lead Rescue clients, RVAI-hosted infrastructure will be decommissioned at the end of service

RVAI reserves the right to terminate service immediately in cases of non-payment, misuse, or behavior that violates these Terms.

5 SMS and Communications

By providing a phone number and engaging RVAI's services, you consent to receive SMS communications related to your service, including lead notifications, follow-up messages, appointment confirmations, and service alerts. These messages are sent through Twilio, RVAI's SMS provider.

RVAI does not use SMS for unsolicited marketing. All messages are operationally related to the service you have engaged. You may opt out at any time by replying STOP to any message.

6 Client Responsibilities

As a client, you agree to:

• Provide accurate business information necessary for system configuration
• Grant RVAI access to the tools and accounts required to build and maintain your system (e.g., Google Calendar, HubSpot, Twilio)
• Respond to access and information requests in a timely manner to avoid delays
• Ensure any contacts receiving automated messages through your system have provided appropriate consent under applicable law
• Use RVAI systems in compliance with applicable federal, state, and local laws including TCPA, CAN-SPAM, and other relevant regulations

7 Intellectual Property

All website content, including text, graphics, logos, and code, is the property of RVAI Solutions and is protected by applicable intellectual property laws. You may not reproduce or distribute any content from this site without written permission.

Automation blueprints and system configurations built by RVAI for Front Desk Pro clients become client property upon full payment of the setup fee. Lead Rescue infrastructure is proprietary to RVAI and is not transferable.

8 Limitation of Liability

RVAI Solutions provides services on a commercially reasonable efforts basis. We do not guarantee specific revenue outcomes, lead volume, or call recovery rates. ROI estimates shared in marketing materials or consultations are illustrative based on industry averages and client-provided inputs — they are not guarantees.

To the maximum extent permitted by applicable law, RVAI Solutions shall not be liable for any indirect, incidental, consequential, or punitive damages arising from your use of our services or website. Our total liability shall not exceed the total fees paid by you in the 90 days preceding the event giving rise to the claim.

9 Disclaimer of Warranties

Our website and services are provided "as is" and "as available." RVAI makes no warranties, expressed or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that our services will be error-free or uninterrupted.

10 Third-Party Services

RVAI's services rely on third-party platforms including but not limited to Vapi, Make, HubSpot, Twilio, Google, and Deepgram. RVAI is not responsible for outages, policy changes, or service disruptions caused by these providers. We will make reasonable efforts to notify you and find solutions in the event of a significant third-party disruption.

11 Governing Law

These Terms are governed by the laws of the Commonwealth of Virginia, without regard to its conflict of law provisions. Any dispute arising under these Terms shall be resolved in the courts located in Richmond, Virginia, and you consent to the jurisdiction of such courts.

12 Changes to These Terms

RVAI Solutions reserves the right to update these Terms at any time. The updated Terms will be posted on this page with a revised effective date. Continued use of our website or services after changes take effect constitutes your acceptance of the revised Terms. For active clients, material changes will be communicated by email.
